Clear, simple and here when you need them. These terms explain how Panda Tots membership works, including enrolment, payments, your child's regular place, missed sessions and participation. Please read them before completing enrolment.

The Programme

Panda Tots is an age-appropriate parent-and-child activity programme for children aged 3–4. Sessions combine playful martial arts-inspired activities, movement, co-ordination, listening, confidence and early life skills.

  • The regular Colchester group is scheduled for Wednesday mornings at 9.30am, subject to the published programme calendar.
  • Each child must attend with one responsible participating parent, guardian or authorised grown-up.
  • The normal group capacity is limited to 10 children so sessions remain safe, welcoming and personal.
  • Panda Tots follows structured 12-week Adventure Cycles, with planned programme breaks and published closures.

Enrolment & Securing a Place

Submitting the digital enrolment form provides the information required to administer your child's membership, but their place is not fully secured until the applicable joining payment has been completed and the ongoing monthly payment arrangement has been established.

  • Standard new enrolment: £49 one-off Adventure Pack payment, followed by £39 per month.
  • Eligible Invitational Taster attendees who previously paid £10 and attended the taster: £39 remaining Adventure Pack balance, followed by £39 per month.
  • Payments and the recurring payment mandate are currently administered through GoCardless.
  • Enrolment is subject to available capacity.

Adventure Pack

The Panda Tots Adventure Pack marks the beginning of your child's programme journey. The standard pack includes the official Panda Tots T-shirt, Achievement Book and first achievement wristband.

Any additional merchandise advertised separately is not included unless expressly stated.

Monthly Membership & Your Child's Reserved Place

The £39 monthly membership reserves your child's place within their regular Panda Tots group and provides access to the ongoing programme. It is a membership arrangement rather than payment for a fixed number of individual lessons.

Missed sessions:
If your child misses a session because of illness, holidays or other personal circumstances, their regular place remains reserved. Missed sessions cannot normally be transferred, carried forward, exchanged for another service or credited against future membership payments.

Planned Adventure Breaks and published programme closures form part of the annual programme and do not normally create an entitlement to a membership refund or credit.

Parent / Grown-Up Participation

Panda Tots is designed as a shared child-and-grown-up experience. A responsible adult must remain present and participate as directed throughout the session.

The adult remains responsible for the child's general supervision and for following reasonable safety instructions given by the instructor.

Health, Allergies & Additional Support

The enrolling parent or guardian must provide accurate and sufficiently complete information about medical conditions, allergies, medication, additional needs, sensory considerations, communication needs or other matters that could affect safe or positive participation.

Relevant changes should be reported promptly. Information is used to help instructors make reasonable and appropriate adjustments, but Panda Tots is not a medical, therapeutic or specialist care service.

Safety & Participation

Physical activity carries an inherent risk of minor bumps, trips or similar accidental injury. Activities are planned and supervised with the children's age and development in mind.

Parents and children must follow reasonable safety instructions and use equipment only as directed.

Colchester Wado Ryu Karate may pause or end a child's participation in an activity where this is reasonably necessary for safety, welfare or the effective running of the group.

Photography & Media

Parents select their photography and media preference during enrolment.

The available choices are Full Permission, Internal / Community Use Only, or No Photography Permission.

The selected preference will be respected and can be changed by contacting Colchester Wado Ryu Karate.

Behaviour & Respect

Panda Tots aims to provide a positive and inclusive environment. Adults are expected to treat children, other families, instructors and venue users respectfully.

Persistent unsafe, abusive or seriously disruptive behaviour may result in participation being reviewed or membership being ended after reasonable discussion where appropriate.

Cancellation by the Parent

Membership may be cancelled by giving one month's written notice to Colchester Wado Ryu Karate, subject always to any statutory cancellation rights that apply.

Cancelling a Direct Debit mandate alone does not replace the requirement to give notice of cancellation.

Where membership is entered into online or otherwise at a distance, statutory consumer cancellation rights may apply, including a 14-day cancellation period in relevant circumstances. Nothing in these terms is intended to restrict or exclude rights that cannot lawfully be excluded.

If a parent expressly asks for the service to begin during a statutory cancellation period, the legal consequences of that request will be explained where required.

Cancellation or Changes by Panda Tots

Occasionally a session may need to be cancelled, moved or altered because of instructor illness, venue issues, safety concerns or circumstances outside reasonable control.

Where practicable, families will be notified as soon as possible. Any remedy or alternative arrangement will be considered fairly in the circumstances and in accordance with applicable consumer law.

Fees & Changes

Current fees are stated during enrolment. Colchester Wado Ryu Karate may change future membership fees or programme arrangements, but reasonable advance notice will be given before a change takes effect.

Any statutory rights relating to price or contract changes remain unaffected.

Communications

Operational communications may include class information, programme updates, closures, safety information and membership administration.

Marketing communications are treated separately and are optional where consent is required. Parents can change their marketing preferences at any time.

Personal Information

Personal information collected through enrolment and membership is handled in accordance with the Panda Tots Privacy Notice.

The Privacy Notice explains the information collected, why it is used, how it is protected and the rights available under data protection law.

Questions, Concerns & Complaints

Questions, concerns or complaints should be raised with Colchester Wado Ryu Karate in the first instance so they can be addressed promptly and fairly.

Changes to These Terms

These terms may be updated when the programme, law or administrative arrangements change.

The version and date shown on this page identify the terms in force at the time of publication. Material changes affecting existing members will be communicated appropriately.
